As year-end approaches, there are a few tasks I encourage you to complete before we process W-2s.
1. Verify address
Please login to self-service and verify your permanent address is up-to-date.
From your myUIndy page, select the Employee link> choose Employee Self Service > My Profile. You will see the current permanent address that will appear on your W-2. You may change your address by clicking on the to the right of the page.
2. Select electronic or paper W-2
UIndy 2018 W-2 Forms will be available electronically through Employee Self Service in January 2019. If you want to view and print your W-2 form through Employee Self Service, you must check the Electronic W-2 Consent box.
From your myUIndy page, select the Employee Link> choose Employee Self Service > Taxes> Electronic Regulatory Consent. Read, check the consent box, and click Submit.
Choosing electronic W-2s will allow you to access and print your W-2 Form 1 to 2 weeks earlier than receipt by mail. You may also view and print W-2’s from past years.
If you choose not to check the Electronic W-2 Consent box, your 2018 W-2 form will be put in US Mail by January 31, 2019. However, you will not be able to view your past W-2 forms in Employee Self Service.
Note: You will also see an option for your 1095-C, however we are not processing your 1095-C through our system. Your 1095-C will be sent to you through the US Mail from the current vendor BeneSolv.
3. Review your current tax withholding
Now is a good time to look at your current tax withholding. If you wish to make any changes to your Federal tax withholding for 2019, you may now do this in Employee Self-Service. (State tax withholding still requires a paper form be submitted to Payroll.)
Again, open Taxes>click on W-4 Employee’s Withholding Allowance Certificate>Update (at bottom of page). Be aware that the effective date cannot be prior to last paid date.
Please note: monthly pay for November and December will be on the 20th of each month due to the holidays.
The last semi-monthly payroll will be paid on December 28th.
